Registering a research contract

Please note, this information is intended for those locally responsible for registration of research contracts.

As of 21 January 2016, Lund University has decided that all research contracts will be registered in W3D3, by a central contract registration function. The contract data will also be registered in LUCRIS, through the function for contract registration at Research Services.

To facilitate this process and avoid delays, we ask that you follow the instructions and input the requested data in the form below.

Bear in mind that this procedure only applies to research contracts, i.e. decisions and agreements regarding research grants and contract research. It does not apply to general contracts that are not connected to research and/or its funding (write to kontrakt [at] fsi [dot] lu [dot] se and ask if you are uncertain). Nor does it apply to grant applications (although these should be registered in W3D3) or disbursement forms, which you enter yourself.

Clarification: You’re welcome to include applications and disbursement forms, if they come as part of the contract or contain relevant information, but we need the decision/agreement part to register your case.

As soon as the case is registered, W3D3 will automatically notify the person designated as local administrator. The email will contain the case number, which should be written down on the original contract. 

(The complete title, i.e. the researcher’s name for the project. Mainly needed in LUCRIS, but also in W3D3, for maximal searchability)

Files must be less than 20 MB.
Allowed file types: gif jpg jpeg png tif pdf doc docx.
(Make sure that the contract is complete and signed by all parties. Contract registration in Raindance is independent of this process and can be done before a W3D3 case number is assigned. There is thus no reason to register unsigned drafts, which is also against regulations. Try to only send one contract at a time, unless it’s clear that they are all part of the same project, and don’t send “lump files”, i.e. several separate contracts in the same PDF file. Divide them up into one contract per file.

(Date of the document’s receipt by LU, if it can be determined – date of publication/notification, if it was retrieved from a portal. If the date is an approximation, please specify this in the Message box below.)
