System support for document registration and archiving
DFS/W3D3 is used by everyone who in some way performs document registration. Registrar and administrator are common roles in the system.
A self-study course in administration is available through Kompetensportalen.

DFS/W3D3 is the Lund University-wide support system for document registration. DFS is Lund University’s abbreviation for Document Flow Systems. DFS/W3D3 is a web application and you need an internet connection to be able to access your cases, documents, files, workflow and more. This allows you to just as easily work in the office as at home, at a conference, or somewhere else in the world.

For the registering of research funding and commission agreements there are specific central routines.
Since the turn of the year 2014/2015, W3D3 serves as a digital transitional archive. That is, you do not need to print the original documents drawn up or received in a digital format when you close a case in W3D3. These documents can remain in the system pending final archiving in an electronic archive.
Training in document registration systems
Only used by Records Management and certain other authorised staff.
As of February 2017, Klara Arkiv is the only system to be used for creating an archive registry at Lund University. Previous registries, included the now discontinued Visual Arkiv system, have been transferred to Klara Arkiv, which now handles registries in accordance with both the general archive schedule (documents drawn up prior to 2014) and the activity-based classification structure (documents drawn up as of 2014).
