New procurement for telephony underway – landline telephones are being phased out

The current telephony contract will end on 31 March 2026, and a call for tenders is now being launched so that a new contract can enter into force the following day. The new contract will involve changes taking place. Therefore, a project is now being launched to get everything in place. Find out what you need to do to be ready.

Two suppliers become one

Lund University's current telephony solution is split between two different providers for operator services and switchboard and referral services. The recently published tender requires that a single supplier offers these services.

Servers and systems as services

Currently, the University owns servers, systems and licences for telephony. In future contracts, these will be purchased as a service.

Landline telephones are being phased out

Today there are about three thousand landline phones, supplied by Avaya. They are based on outdated technology that does not work in modern telephone exchanges. Therefore, landlines will be phased out ahead of the new contract, which will enter into force on 1 April 2026. This will mean work for the organisation, and there will be an update with more detailed information in the autumn once the new contract has been finalised.

For security reasons, support for landline telephones is needed in a few cases, for example in some laboratories. The issue of how these are to be integrated into the new system will be revisited during the autumn. 

The current service package called Mex will be relatively easy to manage when moving to a new contract, as it is based on mobile telephony. If you use Mex, you will not need to prepare by buying new hardware, although you may need to change your SIM card. More information will be provided if required.

Information for managers

Use Luted to get an overview of subscriptions, additional services, costs and account coding for each unit's telephony. 

Make sure the right person is on the right subscription. Avoid transferring subscriptions from one person to another, for example when someone leaves. Cancel the subscription and order a new one for the incoming member of staff. 

Background

In autumn 2024, the University set about improving the accuracy of the data it holds about telephony. The work focused on establishing whether:

  • the right person was listed on the subscription.
  • there were subscriptions that were not being used and could be cancelled.
  • there were people who had left but whose subscriptions were still active.
  • costs were charged to the right cost centres or needed to be adjusted.

The result of this work was that around eight hundred subscriptions were cancelled, which meant a saving for Lund University and served as important groundwork for the upcoming procurement.

What happens now?

  • A project will run from September 2025 to April 2026 to implement the new contract.
  • Fixed telephony will be phased out by 1 April 2026 at the latest.
  • The new contract will enter into force on 1 April 2026.
