New AI policy to provide guidance

Generative AI is quickly changing the way we work, learn and create knowledge. To address this development, a new AI policy has been developed to provide employees and students with guiding principles on how to use the technology in a responsible, ethical and transparent manner.

What does the policy entail?

The policy states that generative AI is to assist, not replace, users’ skills and creativity. The aim is to create conditions for higher quality, more effective processes and increased innovation. At the same time, the policy underlines the importance of critical thinking, academic integrity and respect for applicable laws such as the GDPR and the EU’s AI Act.

A key starting point is trust: trusting that students and staff will use generative AI in a responsible, ethical and transparent manner. The University has a responsibility to provide clear and easily accessible information, guidance and training that makes it easy to use the technology correctly and in accordance with applicable regulations, such as the GDPR and the EU's AI Act.

The fundamental principles in the policy are:

  • Support in teaching and research: AI is to complement basic skills and scientific methods.
  • Transparency: It is to be made clear when and how AI has been used.
  • Responsibility: The user is always responsible for the final content.
  • Ethics and sustainability: Bias is to be avoided and environmental and social aspects considered.
  • Compliance: Only legal, procured tools are to be used.

The policy highlights the fact that AI can be used in many parts of the organisation, from the production of text and images to programming, synthesised speech and video. More detailed guidelines for education, third-cycle education and research will be produced by the relevant board and, for administrative processes, by the university director.

Technological advances are happening quickly, affecting all of the University’s operations. With the new policy, Lund University seeks to create a clear framework that makes it easy to use AI correctly in a way that adds value. 

As a knowledge-based institution, the University also has a particular responsibility for leading and promoting ethical, responsible and forward-looking use of AI. One element of this is identifying environments within the University in which the use of generative AI is particularly innovative or produces high quality and highlight these environments as good examples.
