New case management system procured
The procurement of a new case management system for the entire University has now been completed. The new supplier and system is HaloITSM.
HaloITSM is a British company with a long track record in case management. Its customers include a number of English universities. Storage and operation are conducted within the EU.
The current contract with the supplier of the present case management system, ServiceNow, applies until the end of this year.
Staff members will not notice any major differences during the autumn, but when the new system is in place, it will be easier to obtain support and guidance concerning IT among other things.
Support Centre helps you find the right support
There is a new Support Centre (available in Swedish on Medarbetarwebben) which makes it easier to find support and create certain cases concerning IT, employment and finance.

Improving LU Box
LU Box is one of Lund University’s options for storing documents. Improvements are now being made to LU Box. Some of the ongoing activities are:
Clearing out: The Division of IT has started to clear out old, dormant LU Box accounts.
What you can do: If you do not intend to continue using LU Box, you must download and save the files you want to retain.
Life cycle management: Are you the owner of an LU Box account that several people use? If your employment ends, your LU Box account closes.
What you can do: Before your employment ends, remember to transfer ownership of what you have shared in LU Box to a colleague who works in the shared folder.

A gentle reminder …
Strong authentication is a way to log in that makes it more difficult for someone to impersonate you. To protect the University against today’s increased threats, secure passwords alone are not enough, strong authentication is also needed to log in to the University’s IT services.
An increasing number of IT services at Lund University now have strong authentication.
As of 9 June, strong authentication will be required for booking business travel via BCD Travel. See the timetable for the university-wide IT services that will require strong authentication from spring 2025: Authentication – IT website (in Swedish)
- Check that you have gone through these stages to prepare for strong authentication:
- Get Freja+ (or an authentication app if you cannot get Freja+)
- Link your Freja+ to your LU account – this is done in Passport
- Test that your configuration is right: Freja+ test
