New internal website for staff at the Faculty of Medicine has made a difference

The Faculty of Medicine has reviewed its communications activities and made some changes. They have reorganised their ways of working and have even reworked their internal website, Intramed.

2022 saw the reorganisation of the communication activities at the Faculty, taking as its starting point an analysis made from  2019-2020 of the situation as it was then, including proposals for improvements. Following the reorganisation, the Faculty is now investing more in internal communication than before, but using existing resources.

The coordination that was part of the recent reorganisation gave muscle and a clearer direction to the Faculty’s communication efforts. At the same time, it resulted in fewer bottlenecks, better coordination and less duplication of work. The purpose of the Faculty’s internal communication is to instil a feeling of inclusion among all members of staff and that they have influence, and to ensure that they experience the organisation as relevant and above all have access to the knowledge and conditions necessary to carry out their work in the best way.

“We needed to focus more on internal communication and the reorganisation meant that we could create the possibilities to do that. The launch of our new internal website has become a catalyst and a hub for ongoing internal communication.

We have created a very active newsfeed, initially to keep interest going for the website, but in the long-term we see it as an important channel for building our internal culture,” says Johanna Erlandson, head of communications at the Faculty of Medicine.

Before the project to create the Faculty’s new internal website started, an analysis of the existing website was conducted. The process involved examining statistics, interviewing staff members, exchanging experiences with other organisations and carrying out study visits.

It became clear that members of staff were not satisfied with the existing IT environment, which was splintered, and that email was the primary channel for internal communication. Several of those interviewed did not use the internal website Intramed much in their work.

“We were told that it was hard to navigate to the right information on the website and that much of the information on it was out-of-date,” says Björn Martinsson, who was the project manager for the new website.

A project group was tasked with creating the new website from scratch, and they started with principles and visions. The vision settled on was that Intramed should facilitate the daily work for members of staff at the Faculty of Medicine.

“One of our ambitions was to give Intramed a more central role in the daily work of employees, and to decrease the number of emails. But also, to shift the focus of the content of the website from reading to doing,” says Björn Martinsson.

An important factor in their success has been managing to set the new internal website Intramed as the landing page when members of staff open their browsers. This puts the main news items automatically front and focus when they access the internet.

The Swedish version of Intramed was launched on 1 March and the English version followed on 8 June. What has been the outcome?

“Statistics show a sharp increase in visits and the response has been predominantly positive. The launch of the new website has also made it easier for us to analyse and get an overview of other news channels, such as newsletters, which is our current focus,” says Björn Martinsson.
